When I started researching automation tools for my clients, I did what most people do. I opened ten browser tabs, read a dozen comparison articles, and came away more confused than when I started.
Every article said the same thing. Zapier is easiest. Make is most flexible. n8n is for developers.
I disagree with all three of those statements. And after building automation systems across multiple industries, I want to give you the honest breakdown that I wish existed when I was starting out.
This is not a sponsored post. I use n8n. I will tell you exactly why, and I will also tell you when Zapier or Make might actually be the better choice for you.
What This Decision Actually Means for Small Business
Before we dive into features, let me reframe the question.
Most comparison articles treat this like a software review. They list features side by side and score each tool out of ten. That is not useful if you are a small business owner trying to decide where to spend your money and your time.
The right question is not which tool has more features. The right question is which tool fits where your business is right now and where it is going.
Zapier: The Safe Choice That Gets Expensive Fast
Zapier is the most well-known automation tool in the world and for good reason. It is genuinely easy to use. If you can fill out a web form, you can build a basic Zap. The interface is clean, the documentation is excellent, and they support over 6,000 app integrations.
For a solopreneur who needs to connect two or three apps together and never wants to think about it again, Zapier works.
The problem starts when your needs grow.
Zapier charges per task. Every time an automation runs and processes a piece of data, that counts as one task. On the free plan you get 100 tasks per month. The Starter plan at $19.99 per month gives you 750 tasks. The Professional plan at $49 per month gives you 2,000 tasks.
If you are running automations that process leads, send emails, update spreadsheets and log data, you will blow through 2,000 tasks faster than you think. For a business running moderate automation across sales, HR and operations, you are looking at $299 to $599 per month on Zapier.
Zapier makes sense if:
- You need to connect popular apps quickly with zero technical setup
- You are running simple two or three step automations
- You have a small number of tasks per month and want reliability without maintenance
Zapier does not make sense if:
- You are cost-conscious and expect your automation usage to grow
- You need to build complex multi-step workflows with logic and branching
- You want to store or process data in your own database
Make (Formerly Integromat): More Power, Still a Monthly Bill
Make was called Integromat until 2022 and has built a strong following among people who found Zapier too limited but were not ready to go fully technical.
The visual workflow builder in Make is genuinely impressive. You can see your entire automation as a connected diagram, add filters and routers, and build logic that Zapier simply cannot handle. Make also charges per operation rather than per task, and their pricing is generally more generous than Zapier at equivalent usage levels.
The free plan gives you 1,000 operations per month. The Core plan at $9 per month gives you 10,000 operations. That is significantly better value than Zapier at the entry level.
Make also has a stronger feature set for data transformation. If you need to manipulate data, reformat it, or run calculations inside your workflow, Make handles this much more naturally than Zapier.
The limitation is that Make is still a cloud-hosted SaaS tool. You are still paying every month, your data is still passing through their servers, and you are still dependent on their pricing decisions going forward.
Make makes sense if:
- You want more workflow complexity than Zapier offers
- You are mid-way between a non-technical user and a developer
- You want better value per operation than Zapier at similar complexity
Make does not make sense if:
- Data privacy is a concern for your clients
- You want full control over your infrastructure
- You are building at scale and want predictable zero marginal cost
Why I Chose n8n for Client Work
When I evaluated these tools before starting Upbeat Strategy, I kept coming back to one uncomfortable truth about Zapier and Make.
Both tools are excellent products. But both tools mean that my clients would be paying a monthly fee indefinitely, and that fee would grow as their automation usage grew. The more value I delivered, the more expensive it became for them.
That felt wrong to me.
n8n is open source and self-hostable. You run it on your own server. Once it is set up, there is no per-task or per-operation cost. You can run ten workflows or ten thousand workflows and the cost does not change.
For clients, this means the automation system I build for them has a fixed infrastructure cost that does not scale with usage. That is a fundamentally different proposition.
Beyond pricing, n8n has capabilities that neither Zapier nor Make can match for technical work. You can write JavaScript directly inside workflows. You can connect to any database. You can build HTTP requests to any API whether it has a native integration or not. You can run AI agents that make decisions and take actions autonomously.
The honest tradeoff is that n8n has a steeper learning curve. The interface is less polished than Zapier. Setting up self-hosting requires a server and some technical knowledge.
n8n makes sense if:
- You want zero marginal cost as your automation usage grows
- You need to connect to custom APIs, databases or internal systems
- Data privacy matters and you want everything on your own server
- You are building complex workflows with AI, logic and custom code
- You are working with a consultant or developer who can handle the setup
n8n does not make sense if:
- You need to be up and running in thirty minutes with no technical help
- You only need to connect two mainstream apps with a simple trigger
- You have no budget for any server costs (around $5 to $10 per month on a basic VPS)
The Side by Side Comparison
| Feature | Zapier | Make | n8n |
|---|---|---|---|
| Monthly cost at scale | High | Medium | Low (server only) |
| Ease of setup | Very easy | Easy | Requires setup |
| Workflow complexity | Basic to Medium | Medium to High | High |
| Custom code support | No | Limited | Full JavaScript |
| Database connections | No | Limited | Full |
| AI agent capability | No | No | Yes |
| Data on your own server | No | No | Yes |
| Native integrations | 6000 plus | 1000 plus | 400 plus any API |
| Best for | Quick simple automations | Mid-complexity workflows | Serious business automation |
Which One Should You Actually Use
Here is my honest recommendation based on where your business is.
If you are a solopreneur with simple needs and no technical resource: Start with Zapier or Make. Get your first automations running. Feel the value. When the monthly bill starts hurting or you hit the limits of what they can do, that is when you move to n8n.
If you are a small business owner who wants to build serious automation infrastructure from day one: Go straight to n8n. Find a consultant or developer to set it up. The upfront investment pays back within a few months compared to Zapier pricing at scale.
If you are in Bangladesh or any emerging market where operational costs matter: n8n is the clear choice. Paying $299 to $599 per month to Zapier is a significant cost. A $10 VPS running n8n is not. The economics are completely different in markets where margins are tighter.
The automation tool that wins is not the one with the most integrations or the prettiest interface. It is the one that your business can actually afford to scale on.
Getting Started with n8n
If n8n sounds like the right fit, the fastest way to get started is to spin up a basic VPS, install n8n via Docker, and run through their official documentation. The setup takes a few hours if you are technical, or you can work with someone who can handle it for you.
At Upbeat Strategy, this is exactly what we set up for clients. The result is an automation infrastructure that grows with the business at a fixed cost.
If you want to understand what that would look like for your specific business, get a free audit and we will map out the workflows that would save you the most time.
